In this article, we will discuss how to use the ShipStation Interface to obtain shipping rate quotes, produce shipping labels, and retrieve shipment status and tracking information. Obtaining a Rate Quote
When creating a Sales Quote, Sales Order, or Sales Invoice in ManageMore, you can easily obtain a rate quote for shipment. First, select a customer, or enter the “Ship To” information for the transaction. Then add the products to the transaction that will be shipped. It will be helpful if you have already provided ship weights for your products in the inventory setup.
To obtain the rate quote, optionally select a preferred shipping method. Then, click on the “Freight” link at the bottom of the transaction or press Ctrl+Q. You will be presented with a list of available Shipping Services that can be used, and the rate for sending your package.
If you do not specify a Shipping Method beforehand, the system will select the cheapest rate. If provided and linked to a service, the system will automatically select the shipping method you chose on the transaction. If unlinked, you can link it automatically on this screen.
If you have not provided weights for your items, you can enter or change the total weight. You can also click the advanced options button (next to the weight) or press Ctrl+A to split your package and/or specify dimensions. Click “Get Rates” to obtain a new rate quote.
The amount to charge the customer will automatically be filled in based on the service selected. This can also include a Handling Fee if provided in the Shipping Method setup.
Click “Accept” or press enter to accept the amount and fill in the Freight Amount on your transaction.
Sending a Shipment to ShipStation
After saving a transaction with a Shipping Method that has been set up for interface with ShipStation, ManageMore will automatically send the transaction to ShipStation. This happens for Sales Invoices, Inventory Transfer Orders, and optionally for Drop Ship Purchase Orders. Also, if you change the shipping method, shipping information, or transaction details before the shipment is processed in ShipStation, ManageMore will automatically re-send the transaction with the updated information.
If you need to manually re-send a transaction to ShipStation that has not been shipped, click on the Tracking Number link at the bottom of the transaction. On the Tracking Number List, click the Ship Package button.
Creating a Label
To create labels, log in to your ShipStation account. Then, select “Orders” at the top of the screen, and select “Pending Shipment” on the left. You will be presented with a list of transactions to be shipped. Select the transaction you wish to ship.
On the right hand side of the screen, you will see the “Requested” shipping that corresponds to the ManageMore shipping method. To map this method to a particular service and package type for automatic selection click the “Unmapped” link next to the value.
Once you have selected a valid service and package type, you can click “Create + Print Label” to produce a label for your package. Consult ShipStation documentation for more information regarding special situations, such as splitting the shipment, automation rules, and other shipping options.
Obtaining Shipping Status / Tracking Information
To obtain the current shipping status and/or tracking information, simply open the transaction in ManageMore. The current shipping status will be displayed at the bottom of the screen, in the Tracking Number field.
If the package has already been labeled for shipment, the tracking number will be updated on the transaction and displayed. Shipping cost and the actual shipping method used will also be updated on the transaction when tracking information is retrieved.
If you would like to obtain the shipment status / tracking information for many transactions at once, select Activities … Shipping and Receiving … Sync Tracking Information. By default, this process will update the tracking information on transactions created in the last seven days. You can override the dates checked. This process will also inform you of possible issues with shipments pending.
