In this article we will discuss how to set up and use the IntellAlert feature, to provide automatic and on-demand notification of events in the ManageMore program. With IntellAlert, you can connect your program to Pushbullet and/or IFTTT (If This, Then That) to receive a message or trigger an action to notify someone that a particular event has occurred. Some of the events that you can be notified of include:

  • A certain item or service was sold or ordered
  • A large sale has occurred
  • A large disbursement has occurred
  • A certain employee clocked in or out
  • A certain item has reached a low stock level
  • A task was created or completed

That’s just the “tip of the iceberg.” There are many, many more events you can alert, and the list is growing all the time.

You can also use IntellAlert to send a Quick Alert instant message to a selected recipient, right from the ManageMore Point of Sale or Business Software. You can even receive a daily Sales by Category or Sales by Payment Tender report from IntellAlert.

 

What is Pushbullet?

PushBullet is a free application/service that is available on mobile devices (Android and iPhone) and desktop computers (Windows and Mac) that allows to to push information between your devices, such as messages. ManageMore uses the “push” feature of this service to allow you to receive alert messages on one or more of your devices. Please note, the free version of this service is currently limited to 500 pushes per month. There is a paid version that removes this limitation. How to Set Up a Pushbullet Recipient

To create a new recipient, navigate to Lists … Event Alerts … Event Recipients in the ManageMore software. Click on the new record button, or press the insert key to create a new record. Provice a description of this recipent, being as specific as possible. For example, “John’s iPhone” or “Mary’s Laptop” are good names that will help you distinguish the recipients. Next, select “Pushbullet” as the Event Alert Method. Then copy and paste a valid Pushbullet API Token into the field provided.

To obtain an API Token from Pushbullet, log into your account on the Pushbullet website. (https://www.pushbullet.com) Then click on Settings on the left pane. Finally, click on Create Access Token to create and copy your token. You can use the keystrokes Ctrl+C for copy and Ctrl+V for paste.

Once you have pasted your token into the ManageMore recipient field, click on the “Validate” button. ManageMore will verify your token, and if valid return the devices connected to your Pushbullet account. You can select “All Devices” or select a particular device to be notified. Check the option to allow this recipient to receive a Quick Alert, if desired. This allows an instant message to be sent to the recipient from ManageMore.

What is IFTTT?

IFTTT (If This, Then That) is a free service that allows you to set up Applets (also known as recipes or rules) that are triggered by an event occurring on one connected service, and causing another connected service to do something. This powerful tool has a myriad of applications, and an ever growing number of services that can be connected to it. Some of the connected services include Phone/SMS, Gmail, Office365, Google Calendar, Evernote, Facebook Messenger, Slack, Todoist, Toodledo. There are scores of connected services.

ManageMore uses the Webhooks service to send a custom event to IFTTT. You can then trigger an action to occur when the event happens. So when the ManageMore event occurs, you can trigger an certain thing to happen, like send an email, text message, call a phone, schedule a calendar or create to do. The possibilites are truly endless!

 

How to Set Up an IFTTT Recipient

In order to use IFTTT, you will need to create one or more Applets, that uses Webhooks as the “If This” service component. The Event Name and Values will be set up in your Event Alert Rule.

 

Creating an Event Alert Rule

To determine for what and when ManageMore will send a notification, you will need to set up one or more Event Alert Rules. To do so, click Lists … Event Alerts … Event Alert Rules. Then click on the New Record button to add a new rule.

First, choose the event type you would like to alert. Provide a description for the event. Then choose the Recipient for the alert. Depending upon the recipient notfication type, you will be presented with a Message Title and Description (Pushbullet) or Event Name and Three Values (IFTTT). All fields except Event Name can contain either static text or symbols, which will be replaced with ManageMore data.

Using Symbols

Symbols are variables placed in your Alert Message data that will be replaced by ManageMore data before sending. Symbols always start and end with the percent character, such as %CUSTNAME%. To view a list of available symbols, click on the Symbol Assistant button. You can then click the Copy button to copy the symbol, and press Ctrl+V to paste it into your rule. Keep in mind that not every symbol is valid on every event type. For example, an event for an Item Sale would not contain Vendor information. Time-Based Events

Certain events are based on the time of day, and must be triggered regardless of whether there are users in the ManageMore program. These events require the installation of the ManageMore Service Cache program. This program must be installed on your server, or any workstation that has internet access.
