About Database Maintenance

 

The Database Manager screen in ManageMore presents a table by table view of your company database.  Information is provided for each file, to assist in determining upgrade necessity, corruption, status, or size of the table.   From this screen, a number of functions are available to take various actions on one or more tables of data.  Most functions, such as "Fix", will likely never be needed by you.  Others, such as "Scan" and "Build" are more useful to run on a periodic basis.

exclaimActions that are performed on your database by these functions may cause problems if your data is already in a compromised state.  Before running any function, please make certain a full backup of the program and data have been made.  Technical support will not be able to assist you if you do not have a backup and a problem occurs.
 
Some of the functions found in Database Manager may take a long time to complete.  Because of the way ManageMore performs functions found in this section, Microsoft Windows Task Manager will show that ManageMore is "Not Responding."  This is true ... we are not responding to periodic requests from the Windows operating system, because it would take much more time to finish the action. Do not hit Ctrl + Alt + Del to stop the process, or you will then have to restore your backup.

 

 

Buttons

 

Tag All

Click on this button to select all of the files in the list.

 

Untag All

Click on this button to clear the list of selected files.

 

Build

Click on this button to re-index the files in your database so that your software will continue to function optimally.  This routine should be run once every three months.

 

Pack

Click on this button to decrease the size of a database file that has been purged.  Do not use this unless specifically instructed to do so by Technical Support.

 

Backup

Click on this button to create a temporary backup of the highlighted database file(s).  This will create a copy of the file in a folder called "Backup" which is located in your data folder.

 

If you need to restore a file that has been backed up by clicking this button, simply hit Ctrl + Alt + R while in the Database Manager screen.  You will then be asked if you want to restore all files from the date provided, the tagged (highlighted) files, or to cancel.

 

bulbWhile this option can provide a way to quickly back up a file for troubleshooting purposes, it is not intended to substitute for a full program backup.  A full backup is required before performing any of the functions in Database Manager.

 

 

Fix

Click on this button to clean up corruption when found in a database file, by removing the corrupted records.  Do not use this feature unless specifically instructed to do so by Technical Support.  This option removes any records affected by corruption in data files.

 

Info

Click on this button to count the number of records in the highlighted file(s).

 

Refresh

Click on this button to rewrite the highlighted database files and to eliminate duplicate indexes in the database file(s).  Depending on the file size, this may take a considerable length of time.  Do not use this feature unless specifically instructed to do so by a Technical Support representative.

 

Scan

Click on this button to have ManageMore test each record in the highlighted file(s) for corruption.  This feature is considered harmless and is useful for determining that a problem with a particular file does actually exist.

 

Purge

Click on this button to remove old records from the highlighted database file(s).  Purging records is effective when the database file contains hundreds of thousands of records or more.

 

Upgrade

Click on this button to upgrade all files in this Database Manager list.  This will occur automatically upon software update.

 

infoThe upgrade button provided here does not initiate the download and installation of  the latest software version.  To update your software, select Help ... Intellisoft on the Web ... Software Updates.

 

 

Done

Click on this button to exit the Database Manager screen.

 

Fields

 

Last Full Database Build on

Displays the last date you ran a build on all of the database files at the same time.

 

Elapsed Time

Displays the amount of time the last database build took.

 

Records

Shows the total number of records counted up while running the last Database Manager function.  The count will include only highlighted files.

 

Last Upgrade: Elapsed Time

Shows the amount of time the last upgrade of the software took.

 

 

 

 

Q & A - Database Maintenance

Q01.How often should I use the Database Maintenance screen?
A01.We recommend that you use the Build function on a regular basis, usually about once every three months, depending upon the size of your database.  Other functions should only be used as instructed by a technical support representative.

 

Q02.I started to run one of the functions shown here, but it was taking too long, so I ended the task by hitting Ctrl-Alt-Del.  What should I do now?
A02.If you stop any of the processes listed here, you will need to restore from your backup.

 

Q03.Can I use the purge function to delete old customer accounts that I no longer want?
A03.Customers can only be purged if there are no remaining transactions that reference their account number.

 

Q04.How long does a build take to run?
A04.This will depend on the size of the database file or files being built and the speed of your computer.  It may take a few seconds to hours or more.  If your database is sizable (>500MB in total), you may want to run a build only after business is done for the day.

 

Q05.What happens if there is a power outage during the running of one of the maintenance processes?
A05.If a power outage occurs, you must restore from backup.
