About Payroll Codes

 

Payroll codes allow you to enter the wage and salary amounts that different employees earn in the course of employment at your company.  As you can have an unlimited number of payroll codes, you can assign one for each job type, one for each department, or simply one for each employee.  Payroll codes are also used in ManageMore for keeping track of taxes, deductions, and additions to an employee's pay.

 

This feature requires activation in Setup Human Resources.  Please note that this feature may not be included in your software license.

Field by Field Help - Payroll Code Wizard screen

 

Welcome to the Payroll Code Wizard

 

Select the type of pay that will be represented by this payroll code.  Choose from one of the following:

 

WagesAny kind of regular wage or salary that would be paid to employees for regular time worked.  This can include regular pay, overtime pay, doubletime pay, sick hours pay, vacation pay, holiday pay, etc.

 

AdditionAny kind of additional pay amount that is not tied to the amount of time worked.  This can include Bonuses, Car Allowances, Reimbursements, etc.

 

DeductionAny kind of reduction in salary or wages that would be used to either pay for something the company offers or for taxation's purposes.  This can include 401K deductions, company stock purchases, health/life insurance, paying off invoice balance with the company, etc.

 

The following three fields are listed here for reference only and cannot be chosen for a new payroll code.

 

CommissionThis is used for employee commission amounts that are calculated by the sales commissions process.

 

ContributionThis is used for amounts paid by the company on the employee's behalf outside of ordinary payroll taxes.

 

Payroll TaxThis is used for amounts paid by the company for payroll tax purposes.

 

Wages

 

Select the manner in which wage payment accrues here.  This will only be available when choosing Wages on the first screen of the wizard.  Choose from:

 

Fixed Annual AmountAmount paid per pay cycle determined by dividing the annual rate by the number of cycles in one year.

 

Rate per hourAmount paid per hour worked within a cycle.

 

Rate Type

 

Select the manner in which the addition or subtraction of pay occurs.  This screen is only visible when choosing Deduction or Addition in the first step of the wizard.  Choose from:

 

Fixed amount per cycleAmount added or deducted per cycle stays constant.

 

Rate per Quantity/HourAmount added or deducted is based upon a quantity or number of hours multiplied by a rate per unit.

 

PercentageAmount added or deducted is based upon a percentage of the total pay.

 

 

Pay Code Details

 

Pay Code

Enter a code by which you will reference this structuring of payroll.  Code must be unique.

 

Description

Enter the full description of the payroll code.

 

Alias Paycode

Enter the payroll code that your payroll service uses to classify payroll of this particular type.  This can be different than the Pay Code above and should exactly reflect the coding they use.

 

Alias Pay Type

Select the pay type that this pay code would fall under according to your payroll service.  Select from Regular, Overtime, Doubletime, Holiday, Personal, Misc, Sick, Vacation, Bonus, or Commission.

 

Finish

 

Default Rate

Enter the default rate that an employee is subject to when choosing this pay code.  This amount can be altered on a particular employee's record, if so desired.

 

Default Rate Limit

Enter the limit to which the amount added or deducted should not exceed.  This field is only visible when selecting Addition or Deduction on the first step of the wizard.
